Rates for HCCS-owned equipment for use on a single day, if equipment is outsourced by HCCS, rates are subject to increase.

Guidelines for Room Rental Request

Please submit requests with required documents at least 2 weeks in advance. Our office will review requests for accommodation and follow-up accordingly. Allow 10 business days to complete the review/approval process. Once the request is received other documentation may be required. Be sure to respond promptly. This form does not constitute a contract.

  1. Required documents:
  • Certificate of Insurance

    Listing Houston Community College (HCC) as the Certificate Holder with Waiver of the Right of Subrogation must be noted on the certificate. Also, indicate the HCC Online College and 3100 Main St., 9th fl., Houston, TX 77002 on the insurance form and HCC minimum coverage is required.
  • Facility Rental Agreement (HCC will provide upon review and approval of Certificate of Insurance)
  1. All events are organized by Houston Community College (HCC) for the benefit of external clients only. HCC staff, students, nor faculty are eligible to rent or utilize dedicated conference rooms.You will receive an invoice with an estimated quote.
  2. Reservations are accommodated on a first come first serve basis.
  3. All contracts and agreements are subject to cancellation, should the intent and subject vary from the intent and subject described in the original facility rental agreement form.
  4. Rooms, space and/or reservations may be modified at management’s discretion.
  5. Renters will follow HCC Policies and procedures such as (but not limited to the following): CHF (Local), GD (Local), and GDA (Local) – https://www.hccs.edu/about-hcc/policies/ 
  6. All events involving minors’ participation are subject to completing additional documentation prior to the event, securing adequate chaperons (1 for every 10 minors), and/or must always have parental/adult supervision. See HCC policy/regulations regarding minors on campus.
  7. Non-profit organizations shall provide proof of 501(c)3 or 501(c)4 status.

 

Should documentation not be remitted in a timely manner (within 2 weeks before the event) the event is automatically denied. The facility use request process must be reinitiated for further consideration.

Confirmed reservation request setup changes will NOT be honored within (7) business days of the event.
